Policies

Welcome to Blue-Tater LLC, dba Broken Bow Vacation Cabins and thank you for being our guest. Our goal is to provide a clean, safe and enjoyable environment to stay in while keeping our pricing affordable. We realize that you have choices and we want to make your stay with us a memorable experience so that you will stay with us again and recommend us to your friends and family. Our policies come from years of experience in the cabin management business and we strive to be fair to you as well as the private owners that allow us to market their properties. Keep in mind that these properties are privately owned and scattered over mixed rental and residential areas. We ask that you respect your neighbors and maintain noise levels to acceptable limits. We have staff available after 5:00 each day for emergencies. Making a reservation in our reservation portal will ask you to agree to abide by policies in order to submit a reservation request. We ask that you read these policies prior to making a reservation. Relax and enjoy your stay.

POLICIES:

COVID-19: Due to the recent Covid-19 pandemic you are strongly encouraged and advised to purchase travel insurance with a 3rd party provider of travel insurance. Purchasing travel insurance is the responsibility of the person making the reservation. Everyone is well aware of the potential to have exposure to Covid-19. Broken Bow Vacation Cabins will honor our policies and hold guests accountable to the agreed cancellation policies as outlined in our policies which must be read and agreed to in the reservation process. Broken Bow Vacation Cabins reservation system will not allow a reservation to be made without checking the boxes that you have read and agreed to in order to make a reservation.

Reservations: All reservations must be made online. The person making the reservation name must be on the method of payment required for the reservation. The person attending the reservation name is required on the reservation and must also be a guest at the property during the reserved times and dates. Reservations made shall at the discretion of Broken Bow Vacation Cabins be required to provide a copy or present original valid picture ID. Reservations not meeting the policies of Broken Bow Vacation Cabins may be canceled with full refund of payments.

Amenities: Properties managed through Broken Bow Vacation Cabins Lodging are privately owned, and the amenities are provided by the owner of the property. Sometimes things get broken or change without our knowledge. The amenities lists are subject to change at any time at the discretion of the cabin owner. We do make every effort to keep the amenities list current.
Picture accuracy is subject to change as amenities may be added or removed after pictures were taken. Please check the amenities list or call the office to verify current amenities. In the event of a mechanical failure, we will make every effort to have all reported malfunctions corrected as promptly as possible. Neither the rental company nor the property owner will be obligated to give replacements or refunds in the event of failure or absence of any item, or for any public utility. Hot tubs and spas are provided at no additional charge to the property rental rate. Amenities such hot tubs, spas and gaming devices may not be available due to unforeseen circumstances, example given but not limited to, mechanical failure, power failure and local municipal water supply restriction on filling of hot tubs. Every effort will be made to correct issues, since the amenities are not part of the rental rate of the property and provided at no additional charge, a refund will not be be given.

Wi-Fi and Satellite/Cable service is provided in most cabins at no additional charge to guests.

Broken Bow Vacation Cabins is not responsible for internet or satellite/cable service at any cabin. Services are provided as a convenience only & is not integral to the lease.

No refund shall be given for outages, content, lack of content, speed, access problems, lack of knowledge of use, or personal preferences regarding services.

Sale of Rental Unit: Managed property(s) may be listed for sale. The transfer and sale of a managed property does not guarantee that the new owner/owners will be obligated to honor your scheduled vacation dates. Guests understand that if the selected vacation property sales prior to scheduled arrival date, Broken Bow Vacation Cabins will make effort to reschedule your vacation stay. If Broken Bow Vacation Cabins is not able to reschedule the stay, guests will be entitled to a full refund of any payments collected.

Guest Privacy Policy: We respect and are committed to protecting your privacy. Registered guests who may have other guests staying or visiting them are responsible for providing driving directions and entry codes. Broken Bow Vacation Cabins will not provide this information to anyone other than the person/persons listed on the reservation. We will also not confirm the names of registered guests to anyone other than the person who is listed on the reservation.

Minimum Stays: A 2-night minimum stay is required on reservations. A 3-night stay is required for Federal Recognized Holidays, Christmas week, July 4th week and Spring Break. A 4-night stay is required for Thanksgiving.

Driving Directions Detailed driving directions from Broken Bow, OK intersections of US 259/70 and Oklahoma SH 3 to your cabin are in the confirmation emails. Please print these before departing on your vacation. 911 has mapped the area but GPS is not available for the addresses of the cabins.

Check In/Out: Check in is a self-check-in procedure. There is no centralized check-in office. Your reservation will have detailed driving directions and door access codes. Please print reservation confirmation so you will have detailed driving directions. Relying on retrieval via email while in the area is not guaranteed. Please follow check in time procedures. Each cabin is like cleaning a house and not a hotel room. We need the full amount of time allocated to properly clean the cabin.

4:00 PM or later check in on all cabins11:00 checkout or earlier on departure date. Checking out after 11:00 AM may be subject to additional charges.  Please do not ask for a late check out.  If you need a late checkout reserve the room for an additional night and leave as late that day as you want to.  Please do not ask for early check-in.  We cannot block and take the cabin out of rentals the night prior to arrival unless booked by the arriving guest.  If you want to arrive early, please book the cabin for an additional night before your planned arrival.

Entry to the cabin is not permitted until your scheduled check-in time from your confirmation.  In order to provide clean and comfortable accommodation these times must remain firm so that our staff can clean the properties. When checking out please do not leave dirty dishes and remove all personal items from refrigerator. Please do not move the furniture. Replacing furniture back to the original location may result in additional charges.

Rates: The nightly cabin rate will be listed in the reservation system.  Please see the reservation/ pricing tab on the home page of the website for rates.  The rate is based on the number of guests the cabin will accommodate comfortably, which is two persons per queen bed or king bed and 1 person per full size bed and smaller. Please do not count children under 14 when entering the number of guests in the reservation. All cabin base pricing listed is based on two adult persons age 14 or older *PER BEDROOM* occupancy. Any adult over the bedroom occupancy there will be a $20.00 per adult per night charge. An example is a two-bedroom king bed with a pullout sleeper that accommodates 6 will be charged base price for up to 4 adults and additional charges will be applied for adults age 14 and older. Children under age 14 are excluded from this charge and should not be calculated when making the reservation. Overcrowding of cabins can result in additional charges per person per night and or cancellation of reservation.

Taxes: All reservations are subject to the applicable tax rate during the period of reservation stay. Should the tax rate change after a reservation is confirmed, guest will be credited/billed for the amount equal to the balance owed.

Cleaning Fee: Each reservation will incur a Cleaning Fee (non-refundable after use of property) per reservation.   This will cover cleaning costs associated with cleaning the property after the guest stays. Any damages to the property will be charged to the card on file for the reservation.

Damages to breaking of hot tub lids (damages start at $500.00). Please do not allow children to stand on the hot tub or sit on the hot tub lid as they will break, smoking inside of the cabin or damage to trees to include chopping limbs for firewood or cutting down of the tree.

Indoor Fireplaces: All cabin indoor and outdoor fireplaces that are on propane are seasonal use only. They will be available for use from October 15th through April 15th.  Do not burn real logs or charcoal in a propane fireplace indoors or outdoors.  It will cause extensive damage and you will be responsible for the cost of repairing the damages incurred.

Firewood and Campfires: Firewood can be purchased and then delivered to your cabin.  Firewood requests need to be requested at the time the rental is made.  Requests made after arrival at the cabin may take one day or longer to deliver.   Refunds cannot be given for unused firewood. Please note that it is against the law to leave campfires unattended. During times of high fire danger, we will notify guests by signage inside of cabin of outside fire bans imposed by the issuing authority. Fire bans may be issued by local authorities and state officials at any time and are not within our control.  If a fire ban is issued all firewood ordered will be canceled and refunds given for any firewood not delivered.  No other refunds for firewood will be issued.  Please do not forage for firewood or cut trees around cabins. If trees are cut down or damaged a replacement charge will be added to your stay.

Grills: Both Propane and Charcoal
Please use caution when grilling at the cabin. The grills we provide will get very hot especially when the cover is left closed. DO NOT LEAVE GRILL UNATTENDED WHEN GRILLING. This may cause your food to burn. We clean each grill after every guest but there may be grease in the bottom of the grill. If the grill is left on and unattended this grease may flame and cause burning of food.  Using charcoal or firewood in a gas grill will ruin the gas grill and the guest on the reservation will be responsible for the cost to replace the grill.

Quiet Hours: Cabins are to avoid playing excessively loud music outdoors at any time during your stay. Please observe quiet hours from 9:00 P.M. until 7:00 A.M. During the quiet hours loud noises such as shouting, screaming, or playing loud music outside are prohibited by development covenants.   Excessive noise outside during quiet hours may cause immediate eviction from property without refund.  Please help us enjoy your stay as much as your neighbor wants to. Please note that the cabins in the area are privately owned and any cabin that is not managed by Broken Bow Vacation Cabins is not restricted by our policies. We will attempt to contact the management company or owner of cabins creating loud noises and ask them to contact the cabin to ask them to be quiet. We do not have control over noise therefore no discounts or refunds shall be given for noise issues.

Area Development: The area of Hochatown is experiencing a construction boom.  Cabin construction is taking place in all areas of Hochatown.  We cannot predict when and where new construction will be occurring.  We try to work cooperatively with all construction companies to keep noise to a minimum.  Broken Bow Vacation has limited abilities to keep noises to a minimum.

Restocking of Supplies: We supply all our guests with ample supplies of paper goods and washing detergents. If additional supplies are needed requests made prior to 3:00 P.M. will be filled on the same day. Requests made after 3:00 P.M. will be delivered the next morning.

TV’s: Prior to your arrival we inspect each cabin and turn on TVs to ensure they are on correct settings. Cabins with Direct TV will operate on the HDMI 1 setting. If TV settings are tampered with and TV is not working properly, we will correct the settings as soon as possible.

Hot Tubs: All hot tubs are drained and cleaned after each guest visits. Once hot tubs have been filled it will take 3 to 4 hours to fully heat the water. In order to keep check-ins as early as possible your hot tub water may not be at the desired temperature upon your arrival. Please do not adjust hot tub settings as they are set properly after cleaning. You can monitor the temperature and it will be rising as the water in the tub heats. If no temperature rises after 30 minutes, then please call our housekeeping number. Please do not allow children to get on top of hot tub or Spa covers as they will break. The replacement cost of hot tub covers is $500.00.   Do not use hot tubs if there is thunder and or lightning in the surrounding area.

Weddings: We do not allow weddings or wedding receptions on properties.

Use of Cabin Property: The cabin is for your enjoyment and relaxation as well as an investment for each cabin owner.  The parking of RV’s, setting up tents or other temporary bedding is prohibited. All guests on the premises must sleep inside the cabin. Bounce houses, water slides, swimming pools and all other outdoor leisure activities that require electricity and or water are prohibited. Water balloons are not to be used anywhere on the property. Any violation of these policies will result in eviction and or a fee. The fee is determined by the damage done to said property.

Commercial use of cabin property: The rental agreement authorizes the use of the cabin for leisure activities for the lessee and their listed guest. Permission for any commercial use of the cabin must be obtained in advance in writing from the management of Broken Bow Vacation Cabins. This includes but is not limited to video production both live and recorded as well as all activities that the lessee or their guests receive financial compensation. All third-party vendors hired by the lessee, for example caterers and chefs, must provide proof of liability insurance to BBVC prior to providing services. Delivery services are excluded from this requirement.

Forms of Payment: Forms of payment accepted are a valid credit card, Visa, MasterCard, American Express and Discover.  The name on the reservation must be the same name on the credit card making payment.  No split payments between person on reservation and a third party.  Payments toward reservation can be made by calling our reservation number.  Please no payments of less than $100 per payment.

Payment/Deposit: A non-refundable deposit of 25% of the entire stay will be charged when the reservation is made. This deposit will be applied as credit when the remainder of the outstanding balance is billed.  Balance of reservation for all 1, 2 and 3 bedroom cabins will be billed 14 days prior to arrival. Balance of reservation for all 4 bedroom and larger cabins will be billed 30 days prior to arrival. All cabins booked for Spring Break (arrivals from March 8th, 2024 through March 23, 2024) are billed 30 days prior to arrival.  Acceptance of this agreement allows Broken Bow Vacation Cabins to bill my credit card used to make the reservation unless other arrangements have been made.

Check In/Check Out: The properties have a self-check-in. You will be emailed a confirmation that will have driving directions to cabin and entry access codes. Please print these before leaving. Do not count on your email to download the directions and entry codes once in the area. Check out is a self-checkout prior to 11:00 AM on the day of departure. Please leave the property neat and orderly upon leaving. Directions on how to leave the cabin are posted on the refrigerator. Cabins left messy with pet hair on furniture and in bedding, any type of deification and or vomit, movement of furniture from original placement will be subject of excessive cleaning fees up to $100.00. If damage occurs there will also be charges to cover up to the full amount of repairing damages.

Cancellations: Cancellations and date changes for 1, 2 and 3 bedroom cabins made WITHIN 15 days before your arrival and not in the Spring Break period shall be charged the full reservation fee.  Spring Break cancellations for all cabins made within 30 days before the scheduled arrival date shall be charged the full reservation fee. Cancellations and date changes for 4+ bedroom cabins made WITHIN 30 days before your arrival shall be charged the full reservation fee. Cancellations or date changes must be confirmed by the property management company. Messages left on answering machines or voice mails or requests on phone calls are not accepted forms of cancellation.  Cancellation request and date change request must be emailed to us from a reply to the reservation confirmation or to reservations@brokenbowvacationcabins.com.  Reservations cannot be canceled unless we have been notified by email.  Guests cannot move reservations to a different cabin once your reservation is in the non-cancellation period.

Weather and Environmental Conditions: We are not able to give refunds due to inclement weather and/or early departure. We will rebook reservation if National Weather Service or State Weather Services issues advisories of all road closures that do not allow you to travel between your point of departure and our properties. The conditions of the lake and surrounding areas are not reasons for cancellations.  Prescribed or controlled burns may be conducted in the area by the US Forest Service.   Broken Bow Vacation Cabin is not able to provide refunds or cancellations due to environmental conditions from prescribed or controlled burns.   We provide a link to travel insurance on the home page of our website. This is provided as a convenience and is a 3rd party vendor. You may use this to purchase travel insurance or use an insurance provider of your choice.

Temporary Utility Outages: Due to the rural areas that our cabins are in there will be temporary utility outages due to factors that Broken Bow Vacation Cabins cannot control. When utility outages occur the local service providers will be restoring services. Cancellation and refunds cannot be given when outages occur.

Allergies and Sensitivities: All of our cabins are privately owned and are second homes to the owners.  Broken Bow Vacation Cabins cannot guarantee the cabin to be hypoallergenic.

Pets: Dogs 50 pounds and under are allowed in properties that are marked dog friendly unless noted on the amenities list for property. Some properties have a 15-pound limit but that will be detailed in the property amenities. There will be a $25.00 per pet per night charge applied to dogs. The maximum number of dogs allowed is 2; some properties only allow 1 pet.  Do not allow dogs to get on furniture.  Crate your pet if you leave property.  Animal droppings and excessive cleaning due to pet hair removal will incur additional charges. Failure to claim pets on reservation, make us aware you are bringing pets or not following per policies of weight limits, allowing to get on furniture or not crating pet while away from property shall be subject to pet fees being applied up to the rate of $100.00 per day or immediate eviction without refund.  Personal pets not belonging to registered guests are not allowed at the properties without approval from Broken Bow Vacation Cabins.

Items Lost or Left Behind: Broken Bow Vacation Cabins shall not be responsible for items left or lost in any cabin by guest. Personal items left behind will be mailed to customers with a minimum fee of $25.00 to cover retrieval of item and also a fee of shipping and handling charges will be added to the guest charges. Broken Bow Vacation cabins will look for items left behind and may charge a $25.00 fee to look for the items. Items retrieved from cabin and not claimed within 7 days of scheduled departure will be discarded.

Damages: Damages to cabin or grounds including trees will be repaired and cost to repair and replace will be billed to the reservation. Please do not allow children to get on top of hot tub or Spa covers as they will break. The replacement cost of hot tub covers is $500.00.

Tents and RV’s: Guests may not utilize tents or RVs without prior approval from Broken Bow Vacation Cabins.

Fireworks and Loud Noises: Shooting of fireworks are not permitted on properties. Loud noises such as shooting of guns and playing loud music outside are not permitted on the properties. Violation of these policies may subject property guests to immediate eviction from property without refund of reservation fees. Guests who use fireworks on property and leave trash will be charged an excessive cleaning fee.

Smoking: Smoking is not allowed inside of living areas of properties. You may smoke on covered and uncovered decks and inside screened porches. Please do not leave butts on the grounds. Smoking in a cabin will incur a minimum $500.0 cleaning fee plus any cost associated with accommodating future guest stays in the cabin due to smoke smell. Smoking in the cabin can cause immediate eviction from the property without a refund of reservation fees paid. We enforce this policy strictly.

Trash: Please secure trash that is placed outside in the barrels provided with the lid on them. There are critters in the area that will scatter your trash.  Please do not clean fish on property.

Internet: Internet service is provided at no charge and Broken Bow Vacation Cabins is not responsible for outages or compatibility with guest computers. Guests may not use the cabin internet service in a manner that violates any local, state, federal or international law or regulation, including but not limited to fraudulent and obscene activity.

Firearms and Air guns: Please take your firearms home with you.  Air guns (some examples are bb guns, pellet guns, paint ball guns) and firearms are not allowed to be shot for recreational purposes on the properties.  Discharge of air guns or firearms on properties can be grounds for immediate eviction without refund for the remainder of stay.   If you checkout of property and leave a firearm you may retrieve the firearm from us on the day of your departure. Any firearm left overnight will be transferred to you via a local FFL License to an FFL license of your choosing. The minimum fees are handling fees of $100.00 plus shipping and FFL Fees. Broken Bow Vacation Cabins policy is to not store firearms for retrieval at a later date. Any firearm not claimed or shipped after 7 days or not picked up on the day of scheduled departure from property will be considered abandoned property and disposed of.

Privacy Policy: We respect and are committed to protecting your privacy. We may collect personally identifiable information when you make a reservation on our site. We will not sell your personally identifiable information to anyone.

Property Electronic Equipment A $100 fee will be imposed for tampering with electronic equipment that causes a service call. Do not unhook or disconnect any electronic equipment for video games or other devices. Video games may be connected to available HDMI slots only. Housekeeping will check electronics before arrival to ensure they are in working order.

Cabin Construction Cabins are made of wood construction and additional materials that are part of normal and accepted building standards. Cabins are finished to standards of wood construction using lacquer finishes. Please be aware if any guest has any sensitivities to wood material or wood finishes refunds for departure will not be given.

* Wildlife Encounters: Due to the location of our cabins in forested areas, there is a chance guests will encounter some type of wildlife, insects or stray animals. Each property is professionally treated on a scheduled basis for interior pests, but due to the natural habitation of the forest, no refunds or compensation will be given for any problems resulting from pests inside or outside the cabin. Do not feed animals you may see around the cabin nor permit them to enter the cabin. Do not allow children to play with, pet or feed stray animals. We are not responsible for any wildlife or animal encounters of any kind. Broken Bow Vacation Cabins is not responsible for medical bills resulting from injuries resulting from encounters with wildlife or stray animals.

Liability: All outdoor activities involve certain inherent risk of injury up to and including death. Every effort will be made to secure and make safe all facilities under our management. It is expressly understood and agreed that neither the owner, nor the management company of said premises, shall be liable for any damages or injury to guest, guest’s guests or their families, or to any of owner’s property from whatever cause arising from the occupancy or use of the premises and hot tubs. Neither cabin owners, nor www.brokenbowvacationcabins.com, shall be held liable or responsible for any violation of these terms.
